Position Description

The Membership Sales and Service Director is responsible for the Membership Department including staff recruitment, training and evaluation. This position is responsible for developing and implementing a comprehensive membership marketing plan for acquisition and retention. Other responsibilities include management of new members, registration, record keeping and quality service. This position plays a key role in annual fundraising, marketing and new member acquisition, retention, involvement and engagement. Other key functions include budget development, fiscal management and staff development. This position is key in communicating the YMCA Mission and Goals to the members, staff and community.


  • High School Diploma; Bachelors Degree preferred
  • Strong character values; excellent communication skills; strong computer skills and a thorough knowledge of M/S Office
  • Customer service experience; 1-2 years of supervisory experience


  1. Ensure a welcoming environment in the Membership Department for all members and guests.
  2. Implement and manage membership marketing, sales and retention plans to promote membership growth for the YMCA.
  3. Develop and achieve monthly, quarterly, and annual membership enrollment goals identified in Branch Annual Operating Plan.
  4. Ensure all membership and program enrollments are processed accurately and thoroughly.
  5. Build a strong relationship with members and the community by evaluating the scope and quality of the membership, programs offered, community needs, cost and other collaborations.

  7. Recruit and hire staff using screening tools and panel interviews to gain the best possible fit with each opening.
  8. Provide direct supervision to department staff, assuring that all staff are qualified, certified, and are meeting minimum performance standards for their position.
  9. Provide training for staff and volunteers on an ongoing basis through staff meetings, special courses and workshops.
  10. Address all issues and inquiries in an appropriate and timely manner.
  11. Ensure accurate and professional delivery of YMCA program information and policies.
  12. Establish and implement procedures for managing members and program member accounts.
  13. Track, monitor, and follow up with all prospective members that show interest.
  14. Ensure integrity of branch's membership revenue processes. Supervise the preparation and submission of membership drafts, invoices and renewals. Monitor compliance with established procedures on cash handling.
  15. Sets an example for all staff by welcoming and engaging with members.
  16. Respond to member needs and concerns; address all issues and inquiries in an appropriate and timely manner.
  17. Actively support and participate in the annual campaign, achieving volunteer recruitment and goals as established by the branch.
  18. Develop annual operating budget for the Membership department. Manage department budget to achieve monthly, quarterly and annual goals. Maintain systems for variance analysis, revenue and expense monitoring and control.
  19. Develop work schedules, coordinate daily work, and make sure timecards are properly recorded by employees.
  20. As required, acquire and manage grants/3rd party contracts in an accurate and timely manner. Prepares and submits reports and documentation.
  21. Ensure all scholarships are processed accurately to track scholarship dollars given to obtain the appropriate amount of provided assistance.
  22. Create opportunities (events, initiatives, activities) for members to develop small communities within the branch.
  23. Participate in community outreach through grassroots outings, building relationships and partnerships with community leaders, local businesses, and local government.
