Position Description

The YMCA of Metropolitan Los Angeles' Advancement Services & Administrative Support Coordinator role is a wonderful opportunity for the right individual to achieve both success and personal satisfaction. Reporting to the Senior Vice President of Mission Advancement (Branch Financial Development) the ASAS Coordinator will be charged with supporting advancement services activities at the corporate/ association level and will serve as administrative support to department Senior Vice Presidents. The ASAS Coordinator will help to ensure the accuracy and integrity of data through administrative functions in gift processing and stewardship. The ASAS Coordinator will be responsible for aiding in the successful administration of the business activities of the SVPs with responsibilities including but not limited to clerical support, office administration, accounts payable/receivable, special events assistance, and general administration duties. The ASAS Coordinator will be motivated, dynamic, and effective in establishing and strengthening relationships across the association.

Qualifications

  • A High School Diploma is required, Bachelor's degree preferred
  • Three years of increasing responsibility and experience in a fast-paced office environment preferred
  • Strong oral and written communication skills required; highly developed organizational and time-management skills required; proficient in Microsoft Office programs
  • Raiser's Edge experience strongly preferred

ESSENTIAL FUNCTIONS


ADVANCEMENT SERVICES

  1. Follow and maintain accurate coding structures, data entry standards, and gift processing procedures for the Association
  2. Maintain fundraising data so it can be easily used for prospect management, donor cultivation and stewardship, fundraising appeals, and other communications
  3. Perform ongoing work to clean up, organize, and properly code constituent and gift data to maintain a clean RE database
  4. Perform stewardship activities including generating and mailing of gift acknowledgements and pledge reminders
  5. Produce financial and fundraising reports to serve as analytical fundraising tools for branches and Metro monthly and as needed
  6. Support the administration of The Raiser's Edge (RE) and Luminate Online (LO) databases
  7. Create, implement, and manage procedures/best practices for proper use of RE and LO
  8. Stay up-to-date with advances and revisions of RE and LO software and required hardware

ADMINISTRATIVE SUPPORT

Provide a full range of administrative, clerical, and department support including but not limited to:

  1. Logistical support for meetings or events (room reservations, food orders, materials, set-up and AV, etc.)
  2. Mail merges and other communications
  3. Vendor invoices and expense reports
  4. General office support as needed

KNOWLEDGE, SKILLS & ABILITIES

  • Demonstrated understanding of fundraising databases and best practices in their use and management
  • Highly developed organizational and time-management skills, ability to effectively multi-task
  • Strong attention to detail
  • Strong oral and written communication skills
  • Proficient in Microsoft Office programs
  • Ability to build and maintain strong relationships with colleagues and prospects, building respect, consensus and trust

KEY RESULT AREAS

  • Increase accuracy and consistency of constituent and gift data in YMCA fundraising systems
  • Maintain consistent schedule of stewardship activities
  • Provide a high level of support to the Senior Director of Advancement Services and the SVPs
